Choose a DMS with security features, such as encryption, authentication and editing restrictions. It should be able to create a full audit track for each document and record who edited it when. That will prevent important information from getting lost or overwritten and keep the most recent version visible at all times.
The majority of businesses use email for internal and external communications, but relying on it to transfer files poses significant security dangers. A DMS will allow businesses to securely share documents with clients through a client portal, and it should be able to integrate with identity providers to facilitate user authentication and access control.
Choose a cloud DMS that is regularly backed-up, safeguarding against loss and corruption in the event of the occurrence of a data breach or technological failure. It should be able to restore backups quickly. Find a solution that has at least two levels of redundancy. One should be in a distant location, to protect against natural catastrophes.
